Responsible use and anti-piracy

Acceptable Use Policy

Plain-English summary: Use Trukfox for legitimate trucking operations. Do not upload stolen or pirated material, attack systems, misuse personal data, share accounts, or use the platform for anything illegal or harmful.

1. Scope

This Policy applies to every person and organisation accessing Trukfox, including company administrators, staff, drivers, platform administrators, API users, and anyone sending documents to a connected mailbox. It forms part of the Terms of Service.

2. Lawful business use

You may use Trukfox only for lawful business activities and in compliance with transport, road-safety, employment, tax, customs, sanctions, anti-bribery, privacy, intellectual-property, and recordkeeping laws that apply to you.

3. Copyright, piracy, and ownership

You must not upload, store, distribute, link to, request, or facilitate:

  • pirated software, films, music, books, databases, training materials, maps, photographs, or other copyrighted works;
  • cracked software, licence keys, password lists, circumvention tools, or instructions designed to bypass payment, access controls, or digital rights management;
  • forged, stolen, altered, or unlawfully obtained invoices, identity documents, proof-of-delivery records, licences, certificates, or commercial paperwork;
  • logos, trademarks, customer documents, or third-party material that you do not own or have permission to use.

We may disable access to material reasonably alleged to infringe rights while a complaint is investigated. We handle UK complaints under applicable law, including the Copyright, Designs and Patents Act 1988, and US complaints under the Digital Millennium Copyright Act (“DMCA”), where applicable.

United States DMCA notice

A copyright owner or authorised agent may send a notice to copyright@trukfox.com. The notice must include: a physical or electronic signature; identification of the copyrighted work; identification and location of the allegedly infringing material; contact information; a good-faith statement that the use is not authorised; and a statement under penalty of perjury that the notice is accurate and the sender is authorised to act.

Affected users may submit a counter-notice identifying the removed material and its former location, consenting to the appropriate US federal-court jurisdiction, accepting service from the complainant, and stating under penalty of perjury that removal resulted from mistake or misidentification. Trukfox may restore material as permitted by 17 U.S.C. § 512. Repeat infringers may have their accounts terminated in appropriate circumstances.

United Kingdom and other copyright notices

Rights holders may send a notice to copyright@trukfox.com identifying the protected work, the disputed material and its location, the basis of ownership or authority, contact information, and why the use is unauthorised. We may ask the Customer for a response before removal where appropriate.

4. Security and system abuse

You must not:

  • probe, scan, test, bypass, or defeat authentication, tenant separation, rate limits, file protection, or other security controls without written authorisation;
  • introduce malware, ransomware, spyware, malicious macros, destructive code, or files designed to compromise users or systems;
  • intercept traffic, impersonate another person, use stolen credentials, or access another company’s workspace;
  • reverse engineer, scrape, crawl, benchmark for a competitor, or automate high-volume access except through an authorised API and agreed limits;
  • interfere with availability through denial-of-service, excessive uploads, repeated connection attempts, or unreasonable resource consumption;
  • disclose vulnerabilities publicly before giving Trukfox a reasonable opportunity to investigate and correct them.

5. Accounts and credentials

  • Use your own business email and account.
  • Do not share passwords or app passwords.
  • Company administrators must assign the least privilege required and deactivate former staff promptly.
  • Do not expose mailbox app passwords in notes, documents, screenshots, or support messages.

6. Personal and confidential information

Do not collect, upload, or disclose personal or confidential information without authority and a lawful business purpose. Avoid excessive data. Do not use Trukfox for covert tracking, discriminatory profiling, harassment, doxxing, unlawful monitoring, or the sale of personal information.

7. Harmful, deceptive, and illegal content

You must not use the Service for fraud, theft, sanctions evasion, money laundering, bribery, trafficking, exploitation, threats, harassment, hate, unlawful weapons activity, or instructions that facilitate serious wrongdoing. Do not create fake orders, fabricated documents, misleading audit records, or deceptive communications.

8. Email ingestion

  • Connect only a mailbox you control or are authorised to access.
  • Use provider-issued app passwords where required and follow the provider’s terms.
  • Do not connect mailboxes to harvest unrelated communications.
  • Use sender restrictions where appropriate and verify automated document matches.
  • Do not use connected mailboxes for spam, bulk marketing, phishing, or unsolicited messages.

9. Storage and platform integrity

Trukfox is not a general-purpose file host or backup service. Files must relate to genuine company operations. Do not upload unnecessarily large, duplicate, encrypted, hidden, or misleading files to evade controls. Do not alter audit evidence or encourage others to bypass retention and compliance duties.

10. Enforcement

We may investigate suspected violations, preserve relevant evidence, restrict a file or feature, require corrective action, rate-limit activity, suspend accounts, or terminate service. Where appropriate and lawful, we may report serious conduct to a Customer administrator, rights holder, regulator, or law-enforcement authority.

We will consider severity, intent, repetition, risk, and cooperation. Urgent action may be taken without advance notice where needed to protect people, data, systems, or legal rights.

11. Reporting concerns

Report security abuse to security@trukfox.com. Report copyright, piracy, trademark, or other legal concerns to legal@trukfox.com. Include enough information for us to identify and investigate the issue.
